We’re Hiring an Event Director

We are seeking a passionate Event Director to join our highly collaborative team. In this role, you will lead our team in the production of events ranging from trade shows to street festivals and gala dinners. The primary objective of the Event Director is to produce events that bring value to our members and to strengthen the pride and camaraderie of the community.

Your motivation to accelerate the work of the Longmont Chamber will drive our events to new heights by increasing attendance, profit, and value to our attendees. You are the kind of person that thinks of challenges as opportunities and failures as lessons. Beyond developing projects that come your way, you are actively seeking out new, crazy ideas and coming up with three ways to make them work.

Organization and forethought are key: Day-to-day work includes preparing for the upcoming event while looking forward to and meeting deadlines for the next five. You will also have a weekly recurring staff meeting with the entire team and strategy meeting with the Membership and Creative & Communications Directors specifically tied to event development and task delegation.

Position Overview: Develops, plans, coordinates, and executes Chamber events. Manages all logistical and operation aspects of the events. Strategizes with the Membership Director to fulfill member needs and with the Creative Director to project a clear, consistent message to the Chamber membership and Longmont community.

ESSENTIAL JOB FUNCTIONS

 

  • Plan and Coordinate Chamber Events: Serves as the team leader for events including Longmont Restaurant Week, Commerce Classic Golf Tournament, Unity in the Community, Party! Party!, Jubilee, networking mixers, and any event assigned by the CEO; Provide necessary and appropriate communication and delegation with Chamber staff and volunteers to ensure a successful event and to create a positive experience for event attendees.
  • Co-Develop Unique Event Opportunities: Collaborates with the Membership and Creative & Communications Directors to create innovative solutions to member, event, and marketing needs, as well as ways to generate revenue for the organization.
    • Relationship to Membership Director
      • Collaborate on negotiated, special sponsorship to creatively integrate sponsorship request in a financially feasible way
      • Collaborate on sponsorship tiers in relation to event budgets
      • Attends presenting level sponsor meetings to understand their needs in sponsoring an event
    • Relationship to Creative & Communications Director
      • Collaborate on event vision, brand, and marketing channels
      • Co-produce designated special projects
      • Schedule dates with the Creative & Communications Director for all marketing materials to ensure timely delivery of materials to the membership
  • Prepare written communication for weekly electronic newsletter and for bi-monthly printed newsletter as necessary
  • Prepare and meet event budgets: Evaluate and determine all aspects of events including date/time/location, and topics/speakers for events; Negotiate terms of contract for host facility/entertainment and speakers within budget; coordinate needs and staff event appropriately with staff and volunteers.
  • Evaluate each event or program: Analyze the successes and shortcomings after each activity and implement any necessary changes based on the evaluation outcomes.
  • Retain Chamber members through good customer service and outreach. Develop relationships with members to better understand member needs.
  • Prepare an executive report of events each month for Chamber board meetings.
  • Identify new programs or materials which will directly benefit the membership and to help engage the membership in the Chamber.
  • Recruit and supervise volunteers as appropriate.

Requirements

  • 2-3 years proven event planning success & experience
  • Deliver high-quality customer experiences via phone, email, and in-person interactions
  • Adaptability to work under pressure, often with competing deadlines and schedules
  • Highly organized with a focus on process and execution
  • Enthusiasm for collaborating with teammates

 

  • Quick and effective problem-solving skills
  • Strong interpersonal and communication skills
  • Proficient knowledge of computers, specifically a Microsoft Office operating system
  • Ability to coordinate and work with volunteers
